Specializing in administrative assistance for small businesses, VERSA YS offers an innovative task management model built on a flexible “to-do list” shared between clients and freelance assistants. To structure its growth, centralize requests, and accurately manage time-based billing, VERSA YS founder Éléonore Melchio chose monday.com. Supported by Synolia with a “learn by doing” approach, she co-built a collaborative, seamless, and agile ecosystem. Here is a look back at this highly customized monday.com project.
VERSA YS supports small businesses and independent professionals, especially lawyers, with administrative assistance and Office Business Management (OBM) services. The company stands out with a flexible daily “to-do list” offering, handled by a team of qualified freelancers.
Building on the success of her business as a self-employed entrepreneur, Éléonore Melchio founded VERSA YS to give her activity structure and meet a crucial need: going beyond the limits of standard tools to centralize task management while precisely tracking the time spent for each client.
“VERSA YS offers a great deal of flexibility, handling everything from simple tasks like sending mail to more strategic requests like analyzing files of numerical data.”
The brief: a single interface to manage operations and billing
The main challenge lay in a twofold need: on one hand, a smooth collaboration tool to manage client requests and freelancer activity, and on the other, rigorous sales management (CRM).
The needs, in a nutshell:
To address these challenges and specific business processes, VERSA YS chose monday.com, with Synolia as its integration partner.
“monday.com offers a wealth of features that let you take an idea you have in mind and put it into practice through the tool.”
Rather than a turnkey delivery, we favored a series of collaborative workshops. This approach let Éléonore Melchio take ownership of the tool while benefiting from our technical expertise. Our consultant, Vincent, acted as a true partner, translating complex needs into intuitive features.
“The custom monday.com interface was configured to automatically separate routine tasks (small requests) from projects (which require a quote), so clients don't have to tell the request types apart.”
The interface is deliberately kept very simple so that using the tool becomes second nature for clients. Thanks to the Make and Gmail integrations, information flows are automated, which reduces manual data entry. On the freelancer side, this smooth experience also drives engagement and the best possible responsiveness to client requests.
The core of the solution is the time tracking feature. Each assistant starts a timer when working on a task. This data is linked directly to the client’s hour balance, providing full transparency and automating part of the billing. This mechanism keeps profitability healthy for every pack sold.
“The monthly reporting features let us track how clients use their hours, and they are also essential for assessing how effective the solution is.”
With monday CRM, VERSA YS now has a solid foundation to prospect and bring on new clients. The structure in place is designed to handle a growing number of users without compromising service quality.
“The main goal for 2026 is to roll out the tool and get it running, especially on the CRM side, to bring in new clients and prospects. How the tool evolves will depend on the user experience and on feedback from clients and freelancers.”
Although not every freelancer is using the solution yet, many practical use cases have already been delivered. Meanwhile, Éléonore Melchio is structuring new client onboarding with dedicated processes: a written operating procedure and a short demo video will make the platform easy to pick up for clients and freelancers alike. The goal: limit the time spent on one-on-one training, while relying on a deliberately simple and intuitive interface.
Rollout is imminent (first half of 2026), with a testing phase planned to fine-tune the user experience. A key milestone that lets VERSA YS approach its growth with peace of mind.
