Clear Channel: organizing sales operations with monday.com

Clear Channel is an out-of-home advertising company operating across France, in urban areas, on transportation networks, and in shopping centers. To respond faster to sales requests, the group decided to reorganize its teams and streamline how they work together. So, in late 2021, it adopted monday.com as its new workflow management tool. Let’s see what drove that choice…

Clear Channel, a “creactive” media company

Clear Channel is a media company serving brands and local governments, committed to delivering informative and creative content and innovative interactions. It is also driven by values of proximity and fast action for its clients (brands and local governments).

To improve how sales requests are handled, Clear Channel decided to reorganize its teams by creating sales admin centers. To support this new organization, the group set out to find a collaboration tool to manage the requests that sales reps send to these centers.

The Clear Channel brief:

A collaborative solution to coordinate sales administrators around the handling of sales requests.

As part of its reorganization, Clear Channel wanted a workflow management solution to improve the sales request process (from sales reps to the admin centers). A solution that would replace endless email threads and keep information from getting lost. And finally, a solution to track workload and balance it across all sales administrators.

“Instead of working in pairs, with a sales rep emailing their request to one administrator, we wanted sales teams to be able to send their requests to a pool of administrators through a collaborative platform.”
Diane Lees, Transformation Consultant, Clear Channel

After considering several solutions (Trello, Jira…), Clear Channel ultimately chose monday.com for its user-friendly design and how easy it is to pick up.

Piloting monday.com in one region

In late 2021, Clear Channel’s transformation and IT leads set up a monday.com trial in a pilot region. For three months, around twenty employees configured and used the tool (creating boards, building sales request forms, setting up automations and assignment notifications) in line with the new internal processes. The test was conclusive, so the group decided to roll out the solution to all of its sales teams.

“What’s great about monday.com is its simplicity and the ability to get reports on what’s been done: status changes, task assignments, and so on.”

Nationwide rollout

In January 2022, monday.com was rolled out to all of Clear Channel’s sales teams in France (more than 250 people) for two use cases:

  • Assigning sales requests to the admin centers (a form filled out by a sales rep and assigned to an administrator)
  • Assigning requests to the creative studio
(a form filled out by a sales rep and sent to the studio)

Within a few months, every sales team had adopted the tool and the forms to manage their exchanges. And they all contribute to improving the tool on an ongoing basis. Building on this success, the transformation leads then proposed extending monday.com to other use cases.

  • Every operation that requires successive approvals (barter requests, complimentary placement requests, legal requests, credit note requests), to cut down on email exchanges.
  • Every operation that requires recurring schedule tracking (managing maintenance contracts…). Notifications make sure nothing slips through the cracks.

Today, the group makes full use of monday.com and keeps extending the tool to new use cases, proving what it can bring to each team.

Change management

From the pilot phase onward, every sales stakeholder was involved in getting started with monday.com and configuring it: sales reps, the head of the administrators team, and several administrators. During the rollout, the transformation and IT leads also ran regional roadshows to present the new organization and the collaboration tool.

They trained “super user” administrators who could help their colleagues use the tool. Finally, they set up a support group to handle specific team requests (tool enhancement requests, adding a new user, etc.).

“It makes users’ lives easier, so naturally they were excited to start using the tool.”
Virginie Rigal, IT Representative, Clear Channel

The results

Since reorganizing its teams and implementing monday.com, Clear Channel has seen much smoother processes, faster handling of sales requests, and a better workload balance across administrators. All requests are centralized in one place, with a full history of exchanges and information, which makes handing off files much easier! Teams have seen a real drop in low-value tasks, and email volume has fallen considerably.

The group is now looking into extending monday.com to other teams and use cases (such as tracking HR requests or billing). Stay tuned!
